Remote Sample Logging

What is Remote Sample Logging

Remote Sample Logging (RSL) is a tool that enables a patient’s sample data to be sent from facilities to a PCR Laboratory. This software enables the entry, recording, monitoring, and evaluation of all samples received for analysis at a facility and helps administrators to monitor test and result status and give a coordinated and comprehensive overview of a patient’s results and historical data. Previously, samples from facilities (inclusive of spoke and hub locations) were delivered to PCR labs with an accompanying sample requisition form. Data clerks at PCR Labs were required to enter data from each form into the Laboratory Information Management System (LIMS), while also verifying the acceptability of the sample simultaneously. As volumes of samples sent to the PCR labs increased, backlogs of data entry also increased, increasing sample result turnout time. In response to this challenge, CHAI conceptualized RSL to enable facilities to transmit sample data directly to the PCR Labs.

Features of the Remote Sample Logging

The features of the Remote Sample Logging are highlighted below

Sample Management

This feature of RSL supports facility users in the requisition of samples and the return of results. The users can enter a patient's personal information and clinical information. When a lab order is approved on RSL it proceeds to the dispatch module where the sample data is dispatched to LIMS in a Manifest. RSL sample management provides accurate data of each sample, from the moment it is sent from the facility to the PCR lab and throughout its lifecycle.

Manifest

One distinct feature of RSL is the generation of electronic manifests for samples available for dispatch. This feature will enable users to view the sample batch in a manifest and the result status of the samples in a Manifest. The Manifest module also gives the user access to either view or print the manifest. In instances where the Manifest cannot be printed, the Manifest ID may be noted on a sheet of paper and sent along with samples. This helps the PCR Labs identify and confirm samples received from different facilities readily.

Dashboards, Reports, and data visualization

Data collected on RSL can be reported on, shared, analyzed, and audited. This system supports visualization through reports and dashboards enabling facilities to track overall performance from the data captured. RSL enables trend spotting and patterns in data because all relationships and metadata are captured, enabling users to work with data in context.

Modular Architecture

The system architecture of RSL is modular and scaleable and was built to enable customization of its features to support users' needs.

LIMS Is currently been used across over 16 PCR labs in Nigeria. it receives sample from a lot of health facilities on a daily basis.
